Celtic Bank selects DoxTek to stream line their Underwriting Process

DoxTek recently secured a project to help Celtic Bank streamline their Loan Underwriting Process. Celtic Bank is a nationwide lender and leading provider of SBA and USDA loans, SBA 7 (a) loans, secured business loans, small business loans, real estate and construction loans. They were recognized by the Small Business Administration (“SBA”) as SBA Lender of the Year for 2005, 2006, 2007, 2009 and 2010.
 
Celtic Bank is well known for their flexible loan approval process and their ability to have individual underwriters present a client’s loan directly to the banks loan approval committee.
 
In an effort to continue providing the quick turn around and superior customer service they are known for, Celtic Bank needed a way to help manager the volumes of paper required for a complete loan packet. By leveraging the Kofax Capture software already used by the bank, and adding the workflow and business process capabilities of the Hyland/OnBase software product, DoxTek was able to design a solution to this problem. The new system allows for emails received directly from the field to be routed to the underwriting team for immediate processing. Additional trailing documents sent to individual underwriters can be easily added to the loan approval packet directly from their Outlook email program. Once closed loan information is communicated to the banks ICORE360 core processing system along with all documents associated with a particular loan packet.

 
Reports and notifications are also provided to help managers and executives identify key metrics and gain greater visibility into the entire process.

Flying J Truck Stops Partners with DoxTek on Scanning Kiosks

Flying J Truck Stops has found a new way to improve the effectiveness of the scanning and processing of their 100 billing services kiosks across North America. Through the help of Kodak’s scanners and DoxTek, Inc., Authorized Imaging Reseller of Kodak products, Flying J’s Scan & Go Express kiosks can now quickly digitize bills, proofs of delivery as well as other related forms for immediate use in the billing process.

The Scan & Go Express kiosks are now upgrading from basic flatbed scanners to the new, high-performance Kodak i1210 scanners to enhance document handling capabilities. Flying J has raved about the quality and performance of these scanners in expediting their role in streamlining revenue flow across the billion-dollar trucking industry.

Not only does the Kodak i1210 increase efficiency by providing faster processing speeds, it is also equipped with an enhanced imaging accuracy which allows users to capture information from documents regardless of its condition. These scanners provide the kiosks sufficient advancements in flexibility and efficiency offering more valuable application for truckers who are trying to stay productive while on the go.

The Scan & Go Express kiosks are also equipped with internet connection and touch screen allowing truckers to easily scan and send information to various destinations. AP Automation Seminar – Vivint Case Study

Recently we conducted a seminar about how automating accounts payable processes not only helps in cutting down costs but also reduces down time and manual labor. Our guest speaker Linda Johnson, the accounts payable manager of Vivint (formerly APX Alarm), shared their department’s experiences from their old, time consuming processes to their new and improved process by means of accounts payable automation.

Linda discussed during the seminar that using their old process posed a lot of major challenges for their team. This includes the time consuming and costly processing of documents, slow processing of audit requests, filing, retrieval, re-filing problems, approvals were manually routed, and lost invoices. All these consumed an estimated time of 3,360 hours annually with a total annual cost of $50,400.

This was a wake-up call for APX’s accounts payable department. They sought the help of DoxTek and together have formulated a solution to these problems. The solution was simple – automation. Automating their process has shown significant changes. The time was reduced from 3,360 hours to 1,572 hours annually. The cost of processing documents was cut from $50,400 to $23,580 giving APX an annual cost savings of $26,820.

Of course automating processes requires hardware and software products. For APX, DoxTek designed a system that would cater to the needs and requirements of their accounts payable department. Among the hardware and software products used were the Canon DR-4010C, Kofax Scanning Software for document scanning, and Digitech PaperVision Enterprise for electronic routing, search and retrieval.

By the end of the seminar, Linda mentioned the benefits of having an automated process. This includes the reduction of the cost and time consumed in: processing documents, audits and filing, eliminating manual routing of approvals, and no more lost invoices. The automation would now give them more time for other improvement projects.

A Morning Chat with APX Alarm

A few weeks back, I had the chance to have a little morning chat with a very nice lady named Linda Johnson. Linda is the Accounts Payable Manager of APX Alarm Security Solutions, Inc. a company that provides state-of-the-art residential security systems.


It is always rewarding when you get to talk and get a little more personal with your clients.  I had prepared my questions for Linda before the day of the interview, but still it made me nervous. The anxiety faded when Cullen, our account executive, introduced me first to Linda before we proceeded with the Q&A.


During my conversation with Linda I found out that APX was having problems with their paper documents. She said that one of the major challenges was the filing and the handling of these files because as people search through stacks of papers there was a risk of either putting it back in the wrong place or totally losing the document. This process is not only time consuming but it also requires intensive manual labor.


I was happy that they decided to streamline their processes by means of automation because it will indeed make it easier and faster for them to file, search and retrieve documents when needed and I was particularly happy that APX chose DoxTek to help solve the problem.


I asked Linda about the proposed solution to their problem and she told me that DoxTek had designed a document management system using different software and hardware products and made recommendations on which software would best address the issue. The system that was put up consisted of a Canon DR4010C scanner, a Kofax Scanning Software, and Digitech System’s Papervision Enterprise Software used to route, search and retrieve files.


These hardware and software products were designed to address the specific needs of APX. With this new system in place everything will be done automatically which will minimize the time consumed in routing approvals, searching and retrieving documents, filing, and data entry.


As we moved on, I was psyched to hear that Linda was excited to use the new system and that she’s sure their department will love it once they jump on it completely.


I look forward to hearing from Linda again to see how things are going now that a new system is place and what difference automating the process had made for their department.
